How to catalog a home library
A practical guide from someone who tried spreadsheets, barcode scanners, and shelf photography.
Choosing a cataloging system is easy compared with getting 800 existing books into it.
Almost every home library cataloging project begins with genuine enthusiasm. You download an app or open an empty Google Sheet on a Saturday morning, sit down in front of your favorite bookcase, and begin.
By book forty-five, your knees hurt, you have a stack of volumes on the rug that won't fit back into their gap, and you realize you have seven hundred books left to touch. By Sunday evening, the project is abandoned.
The secret to successfully cataloging a home library is not finding the “perfect” software. It is keeping the intake friction low enough that you actually finish.
Step 1: Decide what you actually need to record
The most common reason people give up is over-engineering. They start trying to record publisher city, binding type, pagination, Dewey decimal call numbers, and acquisition price for every paperback thriller.
Unless you run a commercial rare-book dealership or an academic archive, you do not need full MARC bibliographic records. You need to answer three simple questions when you are standing in a bookstore or looking for something to read:
- Do I already own this?
- Which edition or translation do I own?
- Where is it in my home?
Everything you need to verify ownership, check the edition, and walk directly to the physical shelf.
Step 2: Choose your ingestion method
How you get your books into the system determines whether the project succeeds. There are three primary methods:

Method A: The humble spreadsheet
A spreadsheet (CSV, Excel, Google Sheets) has one immense advantage: total longevity. Twenty-five years from now, CSV files will still open. There is no subscription, no proprietary database format, and no risk of an app company shutting down its servers.
The downside is typing speed. Even if you type forty words a minute, manually typing titles, authors, and ISBNs for 600 books will consume at least fifteen to twenty hours of pure data entry. If you have fewer than 150 books, a spreadsheet is great. Above that, manual typing is where cataloging projects go to die.
Method B: Barcode scanning (phone camera or USB scanner)
Barcode scanning was the standard leap forward in the 2000s. You point a camera or a handheld laser scanner at the EAN barcode on the back cover, the scanner reads the 13-digit ISBN, and an app queries Open Library or Google Books to fetch the title, author, and cover image automatically.
The limitation of barcode scanning appears when your books are already on the shelf. Pulling down 800 books one by one to scan their backs is exhausting.
Method C: Shelf photo capture
This is the problem that led me to build Velato. Instead of pulling down books, you photograph the bookcase shelf by shelf. Software analyzes the spine text, cross-references book metadata, and populates the catalog.
Step 3: Handling older books without barcodes
The International Standard Book Number (ISBN) was not adopted until roughly 1970 (and did not become ubiquitous across all publishers until several years later). If your library includes mid-century paperbacks, vintage literature, or antiquarian histories, barcode scanners will fail on them completely.
For truly older books (pre-1960), the fastest approach is batch cataloging by title and author directly from the title page. Don't let a small cluster of older books stall your entire intake: set them aside in a separate “to catalog manually” stack and finish the bulk of your collection first.
Step 4: Connect your catalog to physical shelves
A catalog that tells you you own a book but can't tell you where it lives is only half useful.
You do not need to paste call numbers on your book spines. Instead, give each bookcase in your house a simple, permanent letter or number, and number the shelves from top to bottom.
A simple 4-character code (e.g., A-3) tells you exactly which shelf to check in three seconds.
When you add or scan a book, tag it with its shelf coordinate. When you want to find The Power Broker, your app tells you “Case B, Shelf 3”. You walk directly to the shelf. No public Dewey numbers required.
Step 5: Keeping the catalog alive
Cataloging is not a one-time event; it is a habit. The catalog fails when you buy five new books and leave them on the nightstand for three months without logging them.
